SIMMS Inventory Software Version 2013 Vol1.3 has been released

KCSI today is pleased to announce the release of SIMMS Inventory Software 2013 Vol 1.3

SIMMS Software turns your computer into an advanced inventory management and accounting software tool, giving you the ability to setup inventory items, transfer your inventory from location to location, complete sales and purchasing transactions, track serial numbers with manufacturer lot control, expiration date management, Accounts Receivable, Accounts Payable, General Ledger, Order Fulfillment and Replenishment, Order Picking, Remote Data collection, Barcode printing and more.

Item Manager Enhancements

Case# 7323 – We have added the ability to associate network paths, network files, and web address’s to items, by clicking the link, path or document it automatically opens the referenced item, this same functionality exists in the kit schema screen along with transaction screens.

Item Transfer Enhancements

Case# 7343 – We have enhanced the Item transfer screen to perform better for larger transactions.

Case#7336 – We have fixed an issue where if you deleted a transfer with item expiration dates, the items would return to the original location however the expiration dates would be missing.

Kitting (BOM) Enhancements

Case#6585 – We have made adding serialized items to kit builds even easier per the case6585.pdf document attached to this knowledge base article.

Case# 7346 – We have fixed an issue where the on-hand qty would increase after you commit your build and when you clicked the save button would go back down again. For example: If you created a kit and then built one of its sub-kits, automatically allocate the quantities. The on-hand quantity is reduced. If you committed the build, the on-hand quantity would increase however when you click Save, the on-hand quantity decreases to the correct amount.

Combined Master Case for the following;

Case#6089 Automatically hold stock when user allocate quantities on stock or serial numbers;
Case#7057 Clean discrepancy between stock on-hand and serials count while kit is in progress;
Case#7261 Allow adding component back if user deletes it by mistake;
Case#7277 Adding non stock items, cost is automatically filled with standard cost from item manager and is automatically allocated;

We enhanced and simplified the grid columns for components/stock. Now, all qty’s are “translated” in the unit of measure the user choose per component. Also, for stock records, all qty’s use the same unit of measure.

After the user allocates quantities manually per stock record or uses automatic allocation the system moves the quantities to an on hold status and captures the costs.

For components using serial numbers, once the user scans a serial and adds it to the kit the selected serial number is not longer available and the stock is placed on hold for the serialized item.

If there is a non stock item (misc item or charge) in the kit schema the system uses the standard cost from item manager and automatically allocates the non stock item when the user starts the kit build by clicking the “Proceed” button.

If the user adds a non stock item during the kit build process the system automatically allocate and use the standard cost from item manager.

If the user deletes a component, which comes from default schema, you can now add it back;

Physical Count Enhancements

Case# 7348 – We have fixed an issue where if you attempted a stock adjustment for an item that uses expiration dates the default expiration date used was 01/01/1900

Case#7337 – We have fixed an issue reported where adjusting stock for serialized items would generate an error.

Case#7281 – We have enhanced the stock adjustment screen for apparel related items, so it prompts you for the color, size and style of the product you are adjusting should the item be an apparel related item.

Purchasing Enhancements

Case#7230 – WE have added the PO total column to the PO authorization grid

Reporting Enhancements

Case# 7340 – We have fixed an issue in the un-received Purchase order report where every item was showing twice.

Service and Returns (RMA / RTV) Enhancements

Case# 7350 – We have enhanced the RTV functionality to allow the user to partially return RTV items back from the Vendor

Case#7326 – We have added the item code column to the Testing window.

SIMMS Online Enhancements

Case# 7231 - On the tool crib form we have add a dashboard so after you scan in the employee id, it populates showing what items the employee has checked out currently. When the employee has completed his check in or check out task the dashboard is blanked out until the next user scans or enters in his user id, at that time the dashboard refreshes showing the current user what he currently has checked out.

Additionally we have made it easier to see what items you have currently scanned or selected in the active tool crib transaction, with the ability to delete a line before you check in or out your selections.

Case# 7333 - We have added an activity report generator where you can report customer activity such as, notes within a date range, or all notes, quotes & sales orders within a date range and activities scheduled within a date range or all

Case# xxxx - Imagine working on your iPad from your customer site, creating a quote and emailing on the spot direct to your customer!! We have added the ability to not only print and save your reports to your desktop, but now you can email your reports on the spot, just be clicking the email icon to the right of the report header, if you are sending a sales transaction the email address will automatically be the address associated to your contact record, otherwise you will have the ability to override or enter your own address.

Sales Quotes - We have added the ability to generate sales quotes
Enhanced Contact Management - we have added more features to the contact management screen;
Account Standing – easy to understand snapshot of customers balance along with any credits due
Comments – enter comments related to the customer that you want noticed right away
Contacts – add as many contacts as you wish along with a picture for each
Documents – upload and store documents and associate them to your customers for further reference
Notes – enter in as many date and user stamped notes related to your customer as you wish
Sales orders Summary - from the customer screen, sales orders tab you can view all sales orders created along with the ability to drill down to the order details
Quotes Summary - from the customer screen, quotes tab you can view all quotes created along with the ability to drill down to the order details
Calendar – schedule events / tasks and associate them to customers/ contacts for your team, easy to understand calendar view where you can see all scheduled activities for a customer for all users or just the current logged in user.

Case# 7200 - Material Requisition Module: This module was designed to provide an easy way for one SIMMS database (Reseller) to request materials from another SIMMS database (Distributor) sending an auto email alert to the distributor once created, have the requested materials approved by the distributor, auto creating a sales order in the distributor’s database, then, once the distributor starts issuing (invoicing) items against that sales order have a receipt of goods automatically created in the resellers database providing a clean paperless flow of items with a record in each company of the flow for more information refer to case-7200spec.pdf file attached to this article.

Case# xxxx – If items have documents attached you will see document referenced next to the item in the item snapshot, (illustration d1 below) if you click the document link you are taken to a page where you can view all associated documents and open them (illustration d2 below).

Apparel Enhancements

Case# 6073 – We have added the ability to set auto reorder points for specific color, size style variations per the Case6073.pdf attached to this article

Item Management Enhancements

Case# 7211 – We have fixed an issue where in some rare conditions people were getting errors when opening the item manager

Case# 7209 – We have fixed an issue where if more then one sub-category was assigned to an item the second sub-category wasn’t displayed for that item in the item manager.

Case# 7206 – Now if you do an enhanced search from the Item Manager and if the tem you are searching for is a misc item then when you retrieve the item, the "Type" field in the Item Manager automatically defaults to the correct type for the item retrieved (misc item). Or if the item is a stock item it, stock item is automatically selected in the Item Manager.

Case# 7190 – We have fixed an issue where in the item manager, the picture manager "Arrows" were not displaying to flip through pictures.

Landed Costing Enhancements

Case# 7205 – On a ROG if you add landed costs to an misc. item (keep in mind you don’t track costs or item qty for misc items or charges). The misc. item now does appear in the Landed Cost Report for reporting purposes only.

Reporting Enhancements

Case# 7181 – We have fixed an issue where when using the Location filter in Sales> Gross Margin Report the locations were not showing.

Case# 7166 We have fixed an issue where the serial number trace report wasn’t reporting all transactions related.

Serial Number Enhancements

Case# 7213 – We have enhanced serial number management related to transferring fixed / repaired items.

Case# 7128 – We have enhanced the Service and Returns manager with enhanced serial number management features.

SIMMS Online (Web application) Enhancements

Case# 6733 – Sales Order Picking - We have added Sales order Picking to SIMMS Online along with a new option, PICK by location, where when selected you would scan the location they are picking from, The location would have to match the location of the item on the sales order/invoice they scan in next. They do not have to rescan the location again until the item they are picking has a different location or they have scanned all the items required from that specific location. For example, if on the transaction there are 4 items from location WHS. The system will allow them to scan in only 4 items from that location. They can however scan different items from the same location. The system will check that the item, quantity, location match the transaction. The user will only need to scan a location once for all items picked in that location.

Case# XXX – We have made SIMMS Online more user friendly, adding a dashboard, Cleaner user interface, easier navigation, Customer manager, flexible skinning options and much more.

Transaction Enhancements

Case# 7073 – We have fixed an issue where users were encountering locking transaction messages.

Case# 7189 – We have fixed an issue where users would receive an error message if they entered the same item on three different lines with different manufacturer lots. Note, the error occurred on the third line

Accounting Enhancements

Case# 6812 – We have added Recurring Transactions to SIMMS for more information refer to the 6812.pdf document attached to this knowledgebase article.

Apparel Enhancements

Case# 7098 – SIMMS Online is now a powerful mobile apparel industry software solution, we have added apparel Style, color, size selection features.

Case# 7007 - ALL apparel reports we have added TWO more sizes per each range (10 fields)

Case# 7013 – We have enhanced the Quick Stock Window by adding a print grid button that prints the grid just like it is displayed including apparel style, size and color information

We have also added a column "Quantity Need" to the quick stock window it will display a value only when BO-PO>0, otherwise it will display ZERO in order to display the difference between the "back order" Quantities and the "purchase order" Quantities.

Barcode Printing Enhancements

Case# 7035 – We have added a new label called Receipt Barcode Label (4\" X 1\"), this label displays the following info: Item Code / Unit of Measure/ Item Description / UDF 1 from the Item Manager ( “kit stock number”) / Location / Quantity / Cost / Lot #/ Expiration Date / Line Comments (Extended Description)

E-store Enhancements

Case# 6910 – We have added field in the item manager, prices tab called “Web Price”, so you can enter a specific web price in the item manager to be used as the default price for an item in the e-store until the customer logs in, then the customer will see there assigned pricing.

Note if there is NO Web price in the item manager then the default displayed in the estore will be the standard price.

We have also added a company name field to the customer registration form in the Estore.

General Enhancements

Case# 7028 – the first and last name in the User Manager are now switched so the first name comes first and the last name comes after.

Case# 6996 – we have added an option called "current sessions" in the admin panel that shows all the current SIMMS sessions. We have also added user rights / permissions related to this feature.

Case# 6956 – We have fixed an issue where the system would report transactions locked error if you created a sales order, left it in draft mode then Created an invoice for the same customer but different item.

Case# 6681 – We have made the e-mail and web fields larger in the contact manager.

Case# 6657 – We have added last/pref vendor (assigned vendor, VPN vendor) to the advanced item search.

Item Fulfillment Enhancements

Case# 6634 – We have added Kit build queue to the fulfillment module so now for items you manufacture / build that are required in item fulfillment you can now cherry pick the buildable items in the list and indicate build quantity and then add to kit build queue from the fulfillment manager, we have also added a new column indicating the quantity currently in kit build queue just so the user can see.

Item Management Enhancements

Case# 7008 – We have added In the Item Manager Document tab, the ability to add/edit/delete hyperlinks (web addresses) per the following image:

Item Replenishment Enhancements

Case# 6634 – We have added Kit build queue to the replenishment module so now for items you manufacture / build that are required in item replenishment you can now cherry pick the buildable items in the list and indicate build quantity and then add to kit build queue from the replenishment manager, we have also added a new column indicating the quantity currently in kit build queue just so the user can see.

Item Transfer Manager Enhancements

Case# 6989 – When transferring items, after the user selects an item, the system checks the stock table and If the stock has JUST one row where on-hand>0, the system automatically populates the initial location, manufacturer lot and exp. date from stock. Or Else, system works as it does now.

Kitting (BOM) Enhancements

Case# 6970 – In order to protect the user from costing related issues when kitting, the system now protects the user from inserting components with zero costs by warning the user by way of an alert when user clicks on the commit button (if components (stock items) are inserted with ZERO cost).

Case# 6814 – Auto Allocation enhancement made in KITTING, we have added a new option from where user can exclude locations from kit component auto-allocate In kit building, when user click on “Automatic Allocation” a new window pops up from where user can choose the bin and/or specific locations they wish to use in auto allocating. Case# 6572 – We have added the ability to attach documents to kit schemas, for more information refer to the 6572.pdf document attached to this knowledgebase article

Kit Project Management Enhancements

Case# 7090 – We have made a Project Management reporting change: before if you didn’t have permission to see user rates then you couldn’t run the project management cost report, we have changed the report so if you don't have permission to see the rates you can still run the report but the user labour rates will NOT show on the report if the user should want to run it.

Reporting Enhancements

Case# 7051 – we have fixed some stock display discrepancy reporting issues found between the quick stock window and the item trace report

Case# 6952 – we have fixed an issue where when printing the results from the advance search it was not printing all of the results in the grid.

Case# 6951 – We have fixed an issue where the sales report wasn’t reporting any information.

Case#6940 – We have enhanced the Reorder Point Report, to be sorted by the item code and report the minimum stock level requirement.

Serial Management Enhancements

Case# 7085 – We have added a space to record serial numbers for serialized items on the SO pick sheet, If an item on a sales order is serialized, the system will detect this and add a space to record the serial number. The number of lines to record the serial numbers will equal the quantity of the item to be picked. So if the quantity of a serialized item to be picked is two, then two lines are added to record the serial numbers.

Case# 7056, 7017, 6986, 6966, 6963, 6958, 6950, 6943 – NOTICE! We have enhanced Serial number management in several areas in SIMMS but primarily in Kitting, Service and Returns and Item transfers in order to address areas in the system where users can create serial number / user serial number issues.

Case#7048 - We have fixed a serial number related hole in kit building where users when allocating serial numbers to components had the "freedom" to change existing serial numbers or add new ones, allocate and commit, this caused an issue where there was a serial number item miss match in the system, we have closed this loop hole, so now you can’t modify serial numbers in kit building.

Service & Returns Enhancements

Case# 7098 – We have fixed an issue where if you created an RMAIN with serial numbers, then created an RMAOUT, the serial number wasn’t listed in the Serial Number Manager. Now the serial number is listed and automatically selected.

Case# 7097 – We have modified the Fix and Destroy screen disabling the ability to add a new serial number, instead you are now able to filter the list of serial numbers by typing the serial number you want.

Case# 7038 – We have fixed an issue where if you generated a PO from the RFQ and then open that PO to view the total didn’t show until you opened the PO and then saved it.

Case# 6973 – In the Inventory Return Window we have changed the default flag to be “This is a defective Item”

Case# 6972 - In the Fix and Destroy window, when you scan or select a serial number and the item is already associated with an RMA number then that RMA number automatically appears in the RMA list and the list is greyed out so it cannot be changed.

Case# 6967 – We have made it so you can add only one RMAIN to an RMA from the inventory return window in order to make it consistent with the Service and Returns Manager.

SIMMS Online Enhancements

Case# 7098 – We have added a new skin to SIMMS Online, we have also added the ability for users to set several skinning related settings themselves such as background colors, logo’s, grid colors and types etc.

Case# 6777 – we have added the UPC field to SIMMS Online in order to utilize barcode scanners with the new web application.

Case# 7008 – We have added a link to view images for each item in the inventory list. When a user clicks the link, the item's image (as entered in the Item Manager) appears in a new window.

We have also added a link to view a list of documents (web addresses) for each item in the inventory list, when a user clicks the link a list of the documents (as entered in the Item Manager) appears in a new window, the user can then click the document link (or web address) to view the document or web page.

Case# 6733 – We have added the sales order picking module to the SIMMS Online application for more information refer to 6733.pdf attached to the knowledge base article.

Time and Attendance Module

Case# 6938 – Time and Attendance has been added as a module to the SIMMS Online web application delivering an easy remote way for your staff to clock in and out of there shifts, making easy work of the tedious tasks involved with monitoring employee time and attendance. Visual Import Manager Enhancements

Case# 7025 – We have fixed an issue found where attempts to import serial numbers would not work.

Case# 7009 – We have Enhanced the VIM to import stock value

Recurring Transaction (URGENT NOTICE!)

Case# 6949 – There is an issue with the latest release SIMMS (2012 vol. 1.11). Transactions will recur (that is repeat) every week.

A new feature in SIMMS is recurring transactions. For sales order, invoices, and purchase orders, you can schedule them to recur. This means SIMMS will generate a new transaction based on an older at the time you schedule. For instance, you can have SIMMS duplicate a transaction every week or month.

The issue is that by default sales orders, invoices, and purchase orders are set to recur every week from the date they were created.

By default all transactions should never recur unless you schedule them to. SIMMS (2012 vol. 1.11RM) addresses this issue.

Note if you installed SIMMS (2012 vol. 1.11) you will have to do the following as well;

Remove Recurring Transactions

1. Open the Recurring Transaction Manager Administration > Recurring Transaction Manager

All original transactions that are scheduled to recur are found in the Recurring Transaction Manager.

2. Click in the Recurring field, and then click the Arrows that appear.

3. This opens the Scheduler Info window.

4. In the Recurring type list, select No Recurring.

5. Click the X (top right) to close the window.

6. A message appears asking you to confirm that you want to remove the scheduled recurrence of the transaction. Click OK.

The transaction is removed from the list of recurring transactions.

Delete Transactions that Have Recurred

You have edited transactions that where scheduled to recur so will no longer recur. If any of these transactions did recur (in other words duplicate) you will need to delete them as well. Not transactions can be sales order, invoice, or purchase order.

1. Delete any transactions that may have been generated by SIMMS.

• For sales orders, go to Sales > Sales > Recurring SO Management Queue

• For invoices, go to Sales > Sales > Recurring Invoice Management Queue

• For purchase order go to Purchasing > Recurring PO Management Queue

2. In the appropriate window, double click the transaction row.

The transaction opens.

3. Click the Delete button (the red X).

The transaction is removed from SIMMS.

Accounting Enhancements

Case# 6875 - Now you can indicate if you wish to have payment terms dictate the transaction due date or use the setting in Global Settings (Invoices/sales orders due after) we have added a new check box "Override Payment Terms" in global settings, when this is checked then system will use the global setting option (Invoices/sales orders due after), or else if unchecked the system will use payment terms

General Enhancements

Case# 6898 – Added the date format yyyymmdd (no separators ex 20121105) to the custom order number manager.

Case# 6877 – We have fixed an issue where in some cases you may receive an error message in the BO Transfer Manager when selecting "Preview".

Item Manager Enhancements

Case# 6858 – We have fixed an issue where the sub-category fields wasn’t large enough to display the sub-category name fully.

Case#6850 – We have fixed an issue where stock adjustments done for items with lot numbers and receive an error.

Case# 6823 – We have added the ability for you to use 0 in the VIM when importing item reorder point information

Case# 6791 – The stock window both in SIMMS and SIMMS Online (WEB application) will now only show items with stock in locations greater or less then 0, unless the items default location has no stock for the item, in this case it will show the item with a 0 stock amount.

Kitting (BOM) Enhancements

Case# 6835 – Now, If there are non-stock items in a kit schema, then when building the allocated qty always equals to std

Purchase Transaction Enhancements

Case# 6853 – We have enhanced the receipt of goods expiration date field to use the date format set in the user manager.

Case# 6573 - 2 tier PO Authorization conditional option, We have added the ability to set a budget threshold where if a PO is over a users authorized limit the PO has to be authorized otherwise automatically approve the PO by the user.

The new option is "Automatically authorize PO". If it is checked when saving a PO:
- The system checks if the user is assigned to a PO group then check if total value in default currency is less or equal with maximum limit allowed
- if is under then automatically authorize, otherwise leave as submitted;
- if the user has no PO group assigned then simply authorize PO All of this happen JUST if budget(s) is available for PO records.
- On PO Authorization follow same rule as for save PO.

Recurring Transaction Enhancements

Case# 6842 – We have added a new recurring transaction scheduler option for PO, SO and Invoice transaction types where users can manage these transactions/schedules - similar with we did for case#6812.

Reporting Enhancements

Case# 6778 – We have been asked to add a new option related to excluding Sales order quantities from the WIP, for those companies that create orders for the future and don't want stock warnings related to WIP. We have added a new option to global settings on the sales tab "Exclude SO's quantities from WIP" - if checked the WIP will NOT contain SO's qty's, IMPORTANT! This has a huge impact to your demand calculation so only use this option if you do not want your sales order quantities added to the WIP for reserving stock qty.

Case# 6904 – We have enhanced the importing of sales orders into invoices to calculate the invoice due date default based on your global setting, the invoice due date will be computed based on today PLUS

if has payment terms on SO and NOT override payment terns on GS, then interest days,

Serial Number Management Enhancements

Case# 6881, 6811, 5123, 4868 – We have closed some serial number loop holes found, where you could process RMA transactions for serialized items without assigning serial numbers causing a serial number item mis-match.

Case# 6839, 6801 – We have closed a loop hole found giving you the ability to receive in duplicate serial numbers.

Service and Repair Enhancements

Case# 6833 - We have fixed / enhanced the following issues found in the service and repair module

if you jump right into the testing screen from the main menu (Not from within rma) you see all RMA's that have had to be tested, if an item has been marked perhaps there should be a column to indicate if it has or not, this screen can grow very quickly, perhaps even filter the grid to show only all items that have not been marked, add the ability to show all as well but if the default is only RMA's that have not been tested / marked then it is easier to manage.

Accounting Enhancements

Case# 6593 – We have fixed an issue where in some cases you may have an error when trying to create a tax vendor when setting up through the GL wizard.

Case# 6684 – We have enhanced the vendor aged detail to display APInvoice no. for receipts instead of Order#

Apparel Enhancements

Case# 6606 – We have fixed an issue where apparel related purchases were not using the unique color/size/style pricing configured.

Case# 6704 – We have made the quantity field larger in the apparel stock reports.

Barcode Printing Enhancements

Case# 6712 – We have fixed an issue where in some cases, users would receive an error when clicking the Add Category button.

Case# 6693 – We have added the ability to define a Default barcode label in global settings>Reports so when a user access Barcode module, this report will be selected by default.

General Enhancements

Case# 6582 – We have fixed the tab order in the enhanced search screen so it flows from left to right down the form.

Case# 6545 – We have enhanced the phone number fields in the contact manager to allow for more characters in order to accommodate extensions.

Case# 6747 – We have enhanced the transaction manager windows to show the user who created the transaction along with the user that last modified the transactions.

Case# 6664 – Based on customer feedback, in the previous version of SIMMS we enhanced the Quote, Sales Order, Invoice data entry screens so if you hit enter you can go to the next column however some clients didn't like that change, so we have added a global setting in general settings- transaction options - use combo box in transaction detail to identify items giving you the ability to pick the entry method you prefer to use globally.

Case# 6351, 6677, 6762, 6750 – Custom Order Numbering Functionality added – we have added the ability to customize your order number schema and make them unique per transaction type, transactions included in this new custom feature are (Quote, Sales order, Invoice, Purchase order, transfer and Receipt of goods.). Using a new order number schema wizard found in the general tab of global settings you can use the standard order numbering or select to use the other option to customize the order number layout for the transactions globally per the illustration below.

By clicking the “...” button next to the transaction type in the custom order numbers configuration screen you can easily configure the order number schema by selecting a field, indicating the length of the field to be inserted, insert and pick a separator to use then repeat with the other fields, when you are done click save data.

WARNING: As a result of this case, if you use external reports, YOU WILL have to re-export most of them and apply your changes due to database changes made to the transaction tables in this version.

Item Management Enhancements

Case# 6629 – We have fixed the physical count screen where when using the quick entry method of the physical count and selecting item by item code, description or find function and clicking count generates the error: “Select item?” . Even though you selected an item it was not being recognizing.

Case# 6334 – Now when a location is inactive - it does not show up when doing transactions or in the item manager.

Case#6489 - Price / Cost Recalculation Tool – Summary, - We have Created a wizard that globally sets the standard item prices and costs for existing and new items imported from VIM, it will also set the default standard price and cost for new items created in SIMMS (just default values, user can override if need be when saving the item).

This wizard can

update the standard cost and prices for existing items
Set default standard costs and prices for new items imported using VIM and created manually in SIMMS

VIM Custom

When importing PO's using VIM it is to use the standard Cost assigned to the item if the PO has no cost field.
When importing Items using VIM it is to use the wizard calculated standard price and cost when importing if the cost and/or price field are missing in the import file.

Case# 6449 – We have enhanced the enhanced item search screen so after typing a search criteria and hitting enter it searches for the item instead of closing the search screen.

Case# 6758 – We have enhanced the stock window to show the item code of compatible items where applicable.

Kitting (BOM) Enhancements

Case# 6 584 – We have enhanced the kit component pick list to reflect the default location assigned to the components.

Case# 6583 – We have fixed an issue where the grid layouts were not saving in the kit schema screen.

Case# 6642 – We have enhanced the kit detail report to show not only the total cost of the kit build but also the cost of every component used to the right of the components listed.

Case# 6653 – We have added a cost estimation button on kits and kit schema that will show you an estimation of the kit build cost using the standard cost from the components. This estimation option can be found in kit schema and kit build primary screen.

Case# 6633 – We have enhanced the job card print out where if printed from the kit building screen and if there are sub kits with sessions started in the kit building screen the session information is included in the job card so you can track what kit/session each job card is for.

Case# 6581 – We have enhanced the Where Used report by adding the ability to list only active kit (items) when you generate this report. This way items that are not active don't clutter up the report.

Case# 6736 – We have added warning popups in the kit schema screen, are you sure you wish to copy, are you sure you wish to delete x kit, are you sure you wish to do anything, the reason for this is that there was way too much room for user error with no notifications.

Case# 6722 – We have enhanced the KIT pick list report, by moving the item description to another line to avoid the truncated descriptions, we have also bolded the Item assigned default location and enhanced so it is the first location that shows in the report.

Case# 6710 - Stock allocation enhancements in kit build sessions - When a user hit "Automatic allocation", system allocates quantities on available stock records based on Global Settings>Selecting Manufacturer lots rule also the user can't access stock locations from where user has no access per user rights.

Case# 6632 – We have enhanced kit disassembly so it will allow you to disassemble the main kit if costing method is not FIFO

Case# 6590 – We have added a summary report in kitting that just shows all item codes, descriptions and associated serial numbers associated to the kit, including all sub kits. I realize the kit detail has this information but in some cases there is too much information for a report. We also added the kit build number, document number and kit description. 

Management Companies

Case#6732 – We have added a new feature to SIMMS called Management Companies. With Management Companies, you can associate other companies under them. For example a property management company that is responsible for other companies. In the Customer Manager, you can see all totals for all companies under the management company, and wish to be able to tree down each company and see the sale/payments for the companies selected. NOTE!!! only for the duration of time the company is assigned to the management company.

Point of Sale Enhancements

Case# 6678 – We have enhanced Point of Sale so when the global setting flag is on to auto assign lots based on expiration date or entry order it will use the applicable method.

Case# 6614 – We have enhanced POS so when the customer processes a payment with the POS system the payment is posted to the right accounts. For example, when they receive a payment with Visa, the Visa account receives the payment.

You can select a lot numbers manually in the POS.

Purchasing Enhancements

Case# 6561 – Purchase order Authorization enhancements made:

fixed a bug found when trying to delete the PO authorization group;
changed the minimum and maximum values for PO authorization group to be in default currency;
Fixed a lag in authorization and date and time stamp. Stays on screen from the first item selected for authorization but it really belongs to the first PO authorized. Have to close out PO authorization and reload for it to disappear;
Fill just budget categories where user has access on PO and Receipts combo box for new transaction.

Case# 6544 – we have fixed an issue where the automatic reorder manager was not indicating the correct tax amount.

Reporting Enhancements

Case# 6564 – We have enhanced the inventory activity report to show stock adjustments and imports to stock.

Case# 6765 – We have enhanced the rptTransactionReceipt.rpt in order to handle lot number reporting better.

Case# 6577 – We have enhanced the export invoice / receipts option in the report center to include the costing information in the report, for example you are using average you can see the average cost of the items on the items sold in the invoice portion of the export, we have also added a wizard so you can select stock adjustments and service and returns (RMA in/OUT, RTV in/OUT) info along with a date selection screen.

Sales Transaction Enhancements

Case# 6588 – We have fixed an issue where under some conditions if you clone a sales order the system would not allow you to modify the price and would produce an error “Object cannot be cast from dbnull to other types”.

Case# 6578 – We have enhanced the quote, sales order and invoice report by adding the tax code description to the data set, instead of just the tax code.

Case# 6570 – We have enhanced the transaction view in the item manager to use the invoice order date filter invoices.

Case# 6568 – We have enhanced the sales order due date to reflect the customer terms.

Case# 6560 – We have enhanced the invoices list to include the branch code, we have also added the ability to change the branch on the fly in the invoices manager.

Accounts Payable Enhancements

Case# 6359 - We have enhanced the batch check printing section of SIMMS, adding a summary on bottom of the grid, we have also added a print grid button along with a transaction currency column to the grid.

Accounts Receivable Enhancements

Case# 6416 – We have enhanced the AR payment screen. Before in AR you had to select a customer then apply payments, but if you didn't know what customer the payment is for? For example, you have a check from a management company with only an order number reference or document number reference you would not be able to find the receivable, so now in AR we have added the ability to also search by Order number (Invoice number), or document number click add and automatically the order is found and customer selected, also the check payment window comes up to save the step of choosing payment type. (note if applying another form of payment just close the check payment window) then enter the payment accordingly.

Apparel Management Enhancements

Case# 6414 – We have enhanced the apparel transaction screen to allow the entry of not only apparel items but none apparel as well.

Case# 6280 – We have re-designed the apparel matrix functionality in transactions making the apparel module in SIMMS one of the best in the market today. Below we will explain the changes:

To use the new grids you must first c heck “Use detailed apparel matrix grid in transactions”. When checked the system prepares the grid for use in transactions. Otherwise if unchecked the system will work as before.

this new option effects the following transactions, Quote, Sales Order, Issue, RMAIN, RMAOUT, Purchase Order, Receipt of goods, RTVIN, RTVOUT and Transfer.
In the transaction screen you scan or select the item then style (note you will have to use the column chooser to add the style field to the grid for the first time) and a new grid will open where you can enter the qty of each color and size you wish to utilize. Note: Where style has no definitions the cell will be grey and user cannot enter qty’s. We have used the color of light yellow on background where the user has entered qty’s in order to make the grid easier to read.

Note you are also prompted to run Matrix reports for apparel transactions, if you select yes you will get the new apparel report layouts.

Automotive Maintenance Enhancements

Case# 6436 – We have resolved an issue where you couldn't click the Detail button in the Stock Transaction window.

Barcode Management Enhancements

Case# 6335 – We have made the following enhancements to the 2D barcode printing Screen in SIMMS:

We have enhanced the text 1, text 2, text 3 field to be user defined fields
There may be several versions for the 2D barcode, We made the report a template report so that user can select a report to use from multiple versions of the report.
We have added a 4'"x6" 2D barcode
We have added mfg, text1, text2, text3 in the report, barcode on the bottom left and the other 4 text fields in the middle.

E-store Module (SIMMS E-Commerce)

Case# 6267 – We have developed a new Web based E-store application that taps directly into SIMMS giving you a live estore sales channel, when sales are completed they show up in SIMMS right away as pending sales orders, when new clients register for a new account they show up live in SIMMS as new customers, you can utilize credit limits in order to enable the customer to use in-store credit or process sales via credit card (currently we interface with Synapse Gateway payment processing, with plans to interface to more in the near future.)

General Enhancements

Case# 6385 – We have grandfathered and removed 2 settings from global settings the settings are the "automatically delete" settings options related to PO/SO and quotes, these settings are legacy and very dangerous.

Case# 6330 – We have added a column in the stock window to display “Actual Stock Available to Sell (On hand – WIP Qty)

Case# 6304 – We have enhanced the following, before when the user enters a partial code/description and selects "Tab" to populate the enhance search window with a list of items with that string, the user couldn't hit "Enter" to retrieve the item, they have to move they're mouse over to "Retrieve" and select it. Order Fulfillment Manager Enhancements

Case# 6283 – We have enhanced the fulfillment manager the following way:

To allow for easier selection of the lines to be fulfilled the following options are to be added to the fulfillment manager:
The ability to filter the lines to a specific Due Date by adding a date selection option to the Filter Options.
The ability to select all of the filtered lines for picking by pressing a single button (i.e. Select All For Picking)
The ability to select the required lines as above to print the packing slips (i.e. Print Packing Slips for Selected) Once the sheets are printed, the user can click select all for invoicing and invoice all the orders in order to assure the inventory is removed from stock as they do not invoice their customers.

Replenishment Manager Enhancements

Case# 6418 - We have added a new entry in Global Settings > Purchases tab called "Include reorder point" if checked then the reorder point is added when using the replenishment manager

Reporting Enhancements

Case# 6361 – We have re-written the export report option so PDF is the first option in the list as opposed to RPT because most users wish to export as a PDF, this saves the user from having to select the appropriate export format as PDF is the default.

Case# 6408 – We have enhanced the zero or Negative stock item report so you can select if you wish to generate the report for just negative stock items or 0 stock items.

Case# 6406 – We have fixed an issue where the Inventory activity summary report in some cases is incorrect.

Case# 6373 – We have enhanced the profit and loss report by customer.

Case# 6371 - We have fixed an issue where in some conditions the Daily transaction register report would generate an error.

Case# 6356 – We have enhanced the PL Report adding a column for oder number.

Case# xxx – We have enhanced all the apparel reports found in the report centre under the apparel reporting category. We have also re-designed the apparel transaction reports, when you are processing transactions with apparel items you are asked if you wish to use the new matrix reports if you select yes the new apparel related transaction reporting is used.

Sales Transaction Enhancements

Case# 6428 – We have fixed an issue where in some conditions if you have a sales order saved in draft mode then reopen to complete the edits the sales order number increments by 1.

Case# 6423 – We have fixed an issue where the shipping method entered for a customer wasn't printed on their invoice and does appear on the Shipping tab in the invoice window. We have also fixed an issue where the shipping account number entered for a customer does not appear on the Shipping tab in the invoice window or on the printed invoice.

Case# 6415 - Processing fee % option added to Invoicing : we have added a field to the totals section of invoices (under extra discount) called Processing Fee (%) so if the user wishes to charge a processing fee they can enter the % number in this field the system will calculate the entered % * (Net + taxes + freight) and add the calculated fee to the transaction, this fee shows up as a processing fee in the totals section of the invoice print out just above total in x currency. The grand total increases accordingly.

Case# 6357 – We have added item alias and customer part number to the sales quote form.

Case# 6349 – We have fixed an issue where after saving an Invoice, "override taxes" is enabled and user can access it.

Serial Number Management Enhancements

Case# 6455 - We have fixed an issue where when generating user serial numbers using the serial number generator you would get an error.

Service & Returns Management Enhancements

Case# 6329 – We have enhanced RMAOUT so now the system asks you if you want to return all of the items on the RMA. If the user selected Yes then all the items on the original RMA would be imported into the RMAOUT

Case# 6392 – We have added Sales order Due date as one of the available fields when importing sales orders using the visual import manager

Case# 6389 – We have added Preferred Date format to the visual import manager to indicate what date format you wish to utilize when importing.

a. For a specific item, all styles;

b. For a specific style, all items;

c. For a specific item and style;

Note: when item is selected just available styles assigned are available on style combo, else is available all styles.

Accounting Enhancements

Case# 6173 – We have fixed an issue where if you use batch invoice printing and have a 0 balance invoice the system will generate an error.

Case# 6199 – We have fixed an issue where a record lock displayed when doing a credit memo

Case# 6189 – Now after matching your AP invoices to your receipt of goods there is a pop up asking if you wish to print the receipts, in case there were changes.

Apparel Enhancements

Case# 6057 – We have enhanced the way you add apparel items to transactions, We have added Style, Size and Color in the grid so a user just selects the item, picks the style, size and color then moves on to the next line. Only styles related to the item selected appear in drop down, and colors and sizes available to the styles should appear.

This change applies to Sales Quotes, Sales Orders, Invoicing, Purchase orders, Receipt of Goods and Item transfers, we have even added to the QUICK STOCK WINDOW.

Important NOTICE: the old method of adding apparel items has been removed as an obsolete feature with this new addition in place.

Serial Number Management Enhancements

Case# 6042 – For Serial numbers we have made them mandatory, if an item uses a serial number you must enter or select the serial number, we have also done the same for user serial numbers should user serial numbers be enabled in global settings.

Case# 5836 now you can update serial number and user serial number information in the “assign serial number to stock form.

Shipping Manager Enhancements

Case# 6082 - We have added a database to the “3rd Party Billing” section of the “Additional Shipping” tab found in the invoicing screen and shipping manager, this way you no longer have to type the “name” field and “address” field every time we use “3rd Party Billing”, instead you can just build a database and create a list.

Case# xxxx - Now you can insert line items by upc code, item code and or item description

Case# xxxx – Now we have added a settings screen to the SIMMS online form where you can enable or disable available fields in order to make the usage of the program easier. For example if you don't use expiration dates you can just opt to remove the field from the screens.

Case# 6045 – Now when you connect to SIMMS online from a Windows Mobile device or Pocket PC, the screen is adjusted to a new layout that supports the small device screens and limited resources, the menu is changed and you can now use the Item transfer module to transfer items live on your mobile device.

Note: the rest of the functionality found in SIMMS Online with the exception of reporting will be available in a pocket pc or windows mobile browser friendly format shortly, we started with the item transfer screen first.

Case# 6046 – Tool / Equipment Crib Program

We have added a new module to the SIMMS online program called Tool/Equipment crib program, this easy to use program gives you the ability to quickly and easily, scan in your employee code, then check the equipment/tools (with serial numbers if required) in and out of a specified location to and from the employees assigned location.

Changes were made in SIMMS to accommodate the new module, they are as follows;

In global settings there is a setting in the Equipment / tool Crib area where you can enable employee ID masking for better security, forcing employees to scan there employee id or login without other people discovering there login id, if masking is turned off then the users are displayed in a drop down selectable field.
In the location setup area you can assign locations Equipment / tool crib status enabling the new application to use the assigned locations as a tool crib source location.
In the user manager you have the ability to assign users a location, this location is used when employee's check items out of the tool crib causing the system to transfer items out of the tool crib location and into the employee's assigned location

To use the new Equipment / Tool Crib all you have to do is;

login to SIMMS Online with a generic account if you wish (proceed to step 2 & 3) and leave logged in for everyone; or login and logout every-time you wish to use, (depending on security and internal policies you may wish to use either method)
Proceed to the Item Transfer shortcut
Click the Equipment / Tool Crib link found on the top right to open the new module
Select the Tool Crib Location (Location you will be storing your equipment / tools)
Scan in or type in the employee id (User ID) hit tab or click in one of the step 2 fields
enter an item by;
1. scan in or type in a upc code and hit tab to refresh the fields, then click add, or;
2. type in or select an item code and hit tab to refresh the fields, then click add, or;
3. type in or select an item description and hit tab to refresh the fields, then click add, or;
4. scan in or type in an items serial number and hit tab to refresh the fields, then click add
If you are checking items out of the tool crib click the Check out button, or;
If you are checking items into the tool crib click the Check in button

Case# 6183 – We have fixed an error generated when attempting to Import serial numbers into the visual import manager.

Windows Mobile (Data Collector Module) Enhancements

Case# 6198 – when creating sales orders on the data collector the first item inserted was displayed by default after inserting instead of blanking out the entry fields for the next item.

Case# 6197 – If Importing sales orders from the data collector into SIMMS when the items are not in stock thereby causing a backordered sales order, we have fixed an issue where the auto PO function from within the sales order backorder manager wasn't allowing you to order for the shortages.

Accounts Payable Enhancements

Case# 5979 – Invoice matching has been enhanced in order to simplify the process of matching Vendor invoices to Receipts of goods, Now you can enter the AP invoice number in the AP Invoice number field found in the receipt header when receiving your product or when processing invoice matching just by entering the AP invoice number and AP invoice date in the available fields found in the invoice matching summary screen, once you enter and click process then invoice, the information is stored in the applicable fields for further reference, the fields can be found in the invoice matching screens, Vendor payment detail screen, receipt of goods and AP payment screen. Note the AP invoice date displayed by default in invoice matching is the receipt of goods date, if you decide to change this date to match the AP invoice date the receipt date is also changed to match.

Automotive Maintenance Enhancements

Case#4535 – You now have the ability to override the prices charged to your customers from right in the automotive maintenance detail screen while adding items and booking time.

Bank Rec Enhancements

Case# 5915 – We have changed some labels and cleaned up the bank rec screens in order to make the screens more user friendly.

Barcode Manager Enhancements

Case#6019 – We have removed The "Show Barcode interface after receiving apparel items" option from global settings and replaced this with more of a global solution related to receipts of goods. Now if you select the Ask for printing or print option related to receipt barcodes in the reports section of global settings you are have the ability to launch the barcode printing screen after saving your receipt where all of the items on the receipt of goods will automatically be in the printing grid so you can print barcodes for the items related to the receipt. We have also enhanced for serial number management as well.

Export to Accounting System Enhancements

Case# 5931 – now the if you click export to excel from this module it includes the detail lines of the transactions that would be exported to the accounting system as well as the header information.

Now you can't assign the same sales order number to more then one project

You can now edit the project No. on Open projects only.
When you click the Print icon to print the Kit Project Report there is a new dialog that appears where the user can;
- print the report that includes cost details from the start of the project to the current date. This is the default setting.

How to Change from Sql Server Windows mode to Mixed Mode (SQL SERVER 2008)

Summary

If you have ever installed Microsoft SQL 2008 manually you will soon realize that the default installation option is to install in windows authentication mode and not the recommended mixed mode, now if you have a well setup network with active directory etc this may not pose an issue but if you have just a standard network you may find you cannot connect to the server using the trusted method, without messing with permissions and adding users to the server first.

To get around this issue it may be easier to just change your installed version of SQL to mixed mode authentication to make this change do the following;

Launch the SQL Management Studio
Right click the server name and select properties
Select Security (Illustration 1)
Check SQL Server and Windows Authentication Mode (Illustration 1)
Save your changes
You will also want to go to security -> Logins (Illustration 2)
select the sa user and change the password in the general tab (Illustration 2)
you may also want to go to the Status option and make sure the login option is enabled (Illustration 3)

Apparel Management Enhancements

Case# 4682 – Modifications and issues addressed were are as follows :

1 – Ability for the packing slip to show $ from invoice. (Can also be the shipping manager packing slip)

2 – Looking at the style matrix in SI5MMS – it runs in Alphabetical order, not in Size order.The ability to maneuver those columns into the position we want them. So they will show SM/MED/LRG/XLRG instead of LRG/MED/SM/XLRG

3- In the PO, it doesn’t print in a grid, so, when you send to a Vendor it shows Style/Size/Color/ like this: Main-XLRG-001. In this case the customer uses a number combo for their colors. Now, each apparel company could call 001 different colors. Company A 001 is Green, Company B – 001 is Blue, Company C 001 is Red,etc

Case# 5717 – We have enhanced sizes to have a matrix representation instead of linear by adding another column called Range also an order column that displays the order of the sizes within each range this is the order they are printed in, and you have the ability to change the order for each range, code combination.

Automotive Maintenance Enhancements

Case# 5536 – We have fixed an issue where you could add a vehicle without any warnings about field size however when you try to assign the vehicle to a customer you would get an assertion failed message because the data was too big for the field.

Case# 5528 – We have fixed an issue where if you delete all the operations in the Automotive Operations Setup window then add a new line, click in a field you would receive an error message.

Case# 5524 – We have enabled the updating of invoiced work order by adding an edit button to the Automotive Manager. The work order can then be edited as required and re-invoiced.

Banking Enhancements

Case# 5762 – We have cleaned up some cosmetic issues on the banking deposit report

Case# 5786 – We have fixed an issue when clicking processing a bank deposit you would get an error.

Barcode Printing Enhancements

Case# 4064 – We have added a new menu option under barcoding called “Stock 2D barcode” this option gives you the ability to print 2d barcodes for the order picking module. You can indicate item qty, the mfg lot can be selected if exists or manually typed in for the barcode, location can be selected and serial numbers can be selected to be included as well. You have the choice of 2 label dimensions and can print to html or crystal reports. Using the customize button you can remove fields from the report printout.

Branch Management Enhancements

Case# 5412 – We have enhanced the Branch Management module so that for obvious reasons, you can not see SO or Invoices done in one branch if you are logged into another, also, you can not pull inventory from one branch if logged into another.

Contact Management Enhancements

Case# 5612 – We have addressed an issue where the clear button next to some fields in the contact manager was greyed out.

Case# 5765 – We have addressed an issue where after you create an alert note in contact manager, customers or vendors, then when create a new transaction and choose a contact the alert note popup displays but the contact is not selected in combo box forcing the alert to be shown twice

Case# 4066 – We have taken Case# 4065 and added the ability to pick orders on the data collector as well.

Case# 5496 – We have fixed an issue where sometimes syncing the data would generate errors.

Case# 5764 – We now have a new data collector installation for windows mobile addressing issues where in some environments physical counts larger then 60 items at once causes the handheld to crash. Make sure to download the latest installer from http://setup.kcsi.ca/dc.aspx when this version of SIMMS is released.

Case# 5763 We have enhanced the data collector program so now if global settings is set to not allow negative stock and if you create a sales order on the data collector where there is insufficient stock, when syncing back to SIMMS the system will automatically put the items on back order for the sales order, otherwise if the option allows negative stock, you will be prompted when syncing if you wish to create a negative stock or use backorder.

Expiration date Management Enhancements

Case# 5565 – We have enhanced expiration date management so if an item has an expiration date it is mandatory to select an expiration date when receiving the items.

Case# 5630 – Now if you have items with expiration dates that also use serial numbers, the expiration date related to the serial number shows in the serial number manager, making sure there remains a one to one relationship between the serialized item and its related expiration date.

General Enhancements

Case# 5690 – We have made the Tax Reg# a string instead of numeric and 20 characters long.

Case#5865 – We have fixed a date issue that made the transaction managers crash if the date was december, 01, 2011

Installation Enhancements

Case# 5378 – we have enhanced the installer to prompt if the SSA is running and needs to be stopped, it will automatically stop the process and install without error now.

Case# 5582 - We have added an option to the server installation option where if you don't want to install sql during the full installation for some reason you can uncheck this part of the installation.

Item Management Enhancements

Case# 5808 We have added the ability to adjust inventory where there are multiple batches with the same number but different expiry dates.

Case# 5671 – We have fixed an issue when searching item (CTRL+X) by Alias. When search an item by alias using wild card characters and more than one item pops up (You have 10 items with the string you search by), there was no way to tell what item alias belongs to which item (your alias is "500", you search and you can have over 20 Items with that string "500", no way to tell which alias' belongs to which Items) so we solved this by adding a column to the data grid for "Alias".

Case# 5635 We have enhanced the item trace report generator to include quotes.

Case 5488 – We have enhanced the item copy function found in the item manager to also copy the subcategories associated to the source item.

Case# 5506 - In the Item Manager, Primary info tab, under Manufacturer/Mfg Part#/ Mfg SKU we have added a “Country of Origin” field with a drop down list to choose from.

Case# 5715 – we have fixed an issue where after creating a new P.O. in the replenishment manager, the "Find PO" button opens a window but did not display any P.O. When the purchase-order manager is checked, the P.O. displayed.

Case# 5410 We have added a new Usage report generator report to show items sold/moved out of a warehouse based on their setup, this generator has the ability to choose the Warehouse and a date filter – Once this is done, the system will show the following information from that warehouse, within that date range (Item code, Item Description, Qty sold (on what invoice number), Manufacturer lot **Obviously with the manufacturer lot, if item code ABC is sold in different man lots but on the same invoice or day or in the same month, it splits per lot #). This report has also been be added to the SSA

Case# 5576 We have added 2 new mailing labels to the invoice manager where if in the sales tab of global settings the option to show mailing buttons on invoice transaction is enabled, there are 2 new mailing label printing options found in the tools menu in the invoice detail screen: called “print mailing label1” and “print mailing label2” where if clicked the user can print mailing labels for the customer related to the order: Both labels would be 2 5/8 by 1 (or whatever works for the label printer)

Label 1 would contain the Ship To information form the Invoice, Name and address listed on invoice as chosen by user when creating the invoice

Case# 5543 – We have enhanced the RTV process so rtv outs now show up in the shipping manager.

Case# 5703 – We have fixed an issue where, when returning an item and associating it to an existing RMA Number. User starts to type in rma number and the drop down field starts to auto filter rma numbers then select an existing RMA number, select "Add" and the RMA Number disappeared.

Case# 5725 – We have fixed a problem where when a user generates an rtvout and there original purchase information is either unavailable or not selected, the item cost displays $0, when it should be displaying the items cost method (etc, fifo, average, weighted avg). Also, Rtvin, we must consider all possible scenarios with with returning: same item, same item refurbished, different new item, different new item refurbished.

Sales Enhancements

Case# 4455 – We have added the ability to indicate a price level override per category in the customer manager, you can indicate what the price level % should be: Below we have explained how it works: This custom will work just for customers who use price levels and % of something

When these settings are checked (or any combination) in customer manager user can define % for each customer and for each category:

If user don’t have defined a % for a specific category, then the system will work like before, for ex:

If selected item for sale is for category “ATS” then system use price level 5 (because this category has ZERO)

If price level is empty, then system will use price from item manager.

So, you can combine price levels with custom % per customer/category but has priority category percentage when price is computed.

(AS OF BETA 4) Case# 5815 – We have added the ability to select and assign Price levels on the fly, per individual line item per Sales Transaction. (in quote, sales order and invoice add a price level field in the data grid where it will show the default price level assigned to the customer however you can change to an alternate and the price will change accordingly. (NOTE this will not work if you override the price levels in the customer manager screen per category)

Case# 5815 – We have added a new price level override capability at the transaction level: The ability to select and assign Price levels on the fly, per individual line item per Sales Transaction. (in quote, sales order and invoice add a price level field in the data grid where it will show the default price level assigned to the customer however you can change to an alternate and the price will change accordingly (this change will not work if selected customer has custom discounts per categories)

Case# 5574 – For the school boards we have added the following functionality to track books and tests issued to students and what has or has not been returned; Anew type of Inventory Return screen where the user scans or types in a serial number (barcode) in a search, and the system identifies which Customer the item was issued to and then opens up a screen listing all unreturned items (serialized or not) issued to the customer so that they can quickly be flagged as returned, either by toggling the item or by scanning serial numbers (barcodes) for each item.

In the detail area it would list:

- The document number of the Issue the item was shipped from (to locate it for returns)

- Item Description

- Item Code

- Item serial number (barcode scanned on shipment) if it is a serialized item – blank if not

- Quantity shipped

- Shipping Date / Date Issued

- Return Date (if selected in the options screen)

The items would not be automatically flagged for return – the user would either select a check box or scan a barcode to flag individual items on the screen for return

- This would separate the Returns process from the procedure of returning at the Invoice level, and would contain combined data from the invoices

- It would be useful if this screen listed the same type of information (detail on each item) as requested for the report in Goal #2.

- For a decision on refund of deposit, the user would be able to see which items were not returned on this screen

- Non-deposit items would be included so that the user could return these to inventory as well – sometimes a student quits and returns unused non-deposit items

- The screen should have sort options to sort by date issued, by item code, by item name, or by invoice #

- The screen should include an option to filter by serialized or non-serialized items – so the user could choose to only display serialized items to return (where students have several courses and several items to return). The majority of returns are for serialized items.

Stock levels would be incremented by each item returned and the serial number would be made available to be re-issued once a return is processed

Case# 4065, 3675 – We have created a new Order Picking Module where you can indicate items have been picked by scanning the upc code, 2d barcode, or selecting the item manually, for more information refer to page: 52 of the 8.0 sales document also included in this release notice.

Case# 5761 – Now shutting the manual vendor invoice screen warns you about saving if not saved.

Case# 5606 – We have fixed an issue with sales quote cloning where when cloning a quote the line items would be duplicated in the cloned quote.

Case# 5327 – We have fixed an issue where if you select a due date in an invoice and save it then close and reopen the selected due date is replaced with the transaction date.

Case# 5552 – We have fixed an issue found in quantity volume discounting where the first level of discounts would get applied however when you increased the quantity of an item the second level wasn't getting applied.

Case# 5253 – We have fixed an issue where after creating a quote, if you try to import to a Sales Order or Invoice, the system would NOT import items using their DEFAULT location. When selecting Import from Quote, the 'find transaction' screen appears, at that point, if you do not select a location, the system gave an error - please select location, however, if you choose a location first, the system pulls ALL inventory items from that 1 location. Now the system to allows you to import from quote using inventory items DEFAULT locations.

Security Enhancements

Case#5415 – We have added 2 new fields to the user setup area of SIMMS where you can now associate a signature and picture for your staff, we have also added PO approver and authorizer signature fields to the PO transaction report data set so you can insert there related signatures if required.

SIMMS Server Agent (SSA) Enhancements

Case 5708 – We have fixed some issues with the SSA where when scheduling one time events they were not saving without an error, and some scheduled events were not alerting as they should.

Shipping Manager Enhancements

Case# 5719 – we have fixed an issue where after invoicing you were not prompted to use the shipping manager even if you had opted to use this option in global settings.

Transaction Management Enhancements

Case# 5629 – We have enhanced the transaction screen to now show on transactions (in red) what user last saved the transaction and when, this information can be found by opening up the transaction detail screen.

Case# 5281 – We have enhanced the Quote, Sales Order and Invoice form so you can now scroll down to see full Header and footer comments without having to open a transaction in edit mode

Case# 5471 – New item selection option created for receipts of goods and transaction returns – When receiving whole purchase orders or returning items from an order or most of the orders SIMMS worked very fast and efficiently however when you had to receive or return only a few lines out of an order of 100 line items or more it was difficult because you had to delete the lines you were not receiving or returning. Now we have added a new option when receiving purchase orders or returning orders you are prompted with a question for receipts:“do you wish to receive all or most of the order?”, for returns:“do you wish to return all or most of the order?” if you select no a new pop up window is displayed where you can scan in a line item to select, multiple select more then one line, modify quantities, drag selected items with modifications to the primary document or click select all to do the same, this way you only have to select items you are wishing to utilize instead of the reverse, having to delete lines you don't wish to utilize in the transaction, this dramatically speeds up the process of filling partial orders.

Visual Import Manager Enhancements

Case# 5549 – We have fixed an issue where under some conditions importing vendor part numbers does not work.

Case# 5803 – We have added the ability to import "Country of Origin" and "Manufacturer" into the Item Manager.

Work Order Manager Enhancements

Case# 5445 – We have fixed an issue where under some conditions you are unable to finish a WO (Finish WO not available) and Labor cost and time are not calculating in the "Finals" Tab.

Urgent Fix Related to the date December, 01, 2011 and SIMMS version 8

Summary

There was a bug related to any SIMMS forms that use dates, where if the date is December 1st, 2011 or later the date related forms like the invoice manager, sales order manager, purchase order manager and so on will generate an exception error.

We have created a patch for this issue, details mentioned below.

If the system date is December 1st, 2011 or later and when attempting to open the invoice manager, sales order manager, purchase order manager and any other form related to dates you will get an exception error. error similar to this:

Patch/Fix Information

To fix this issue do the following;

Make sure your SIMMS installation is on the latest version of 8.06 if you are not sure look at the bottom left corner of the SIMMS Software main screen, if you are on version 8.0.0 - 8.0.5 then
- backup your database;
- proceed to http://setup.kcsi.ca and upgrade your database server and clients to version 8.0.6 first, then proceed with the next step

If you are on 8.0.6 or one of the 8.0.7 beta versions proceed with the instructions below.
Verify you are on 8.0.6 or newer
Make sure everyone is logged out of SIMMS
Backup your SIMMS Database
Unzip “KCSI.Simms.Common” file from the zip archive associated to this knowledge base article
Copy KCSI.Simms.Common.dll
Paste the “KCSI.Simms.Common.dll” file in your KCSI> SIMMS root directory (default location C:/Program Files/KCSI/SIMMS)
Select “Yes” to copy and replace.

Resolution:

This is a very good question, the default currency code is set to USD. If this is not the case for you and if you do not have the Multi-Currency Module because you only deal in one currency then do the following to change the currency code:

Launch SIMMS and login as admin
proceed to the Administration -> SIMMS Management -> SQL Assistant screen
paste in the following SQL command (replace CAD with whatever currency code you wish to use)

UPDATE settings SET isequal='CAD' WHERE exp='Default Currency'

Click the run SQL command (Cmd) button found on the top right.
Close SIMMS
Relaunch SIMMS

How can I open more then one instance of SIMMS at once?

Information

If your SIMMS Inventory Software is installed on a terminal server or perhaps a Citrix server then chances are you will have to launch more then one instance of SIMMS at one time, to do this your SIMMS Shortcut will require a variable.

Instructions to enable SIMMS for a multi session environment

In order to allow SIMMS to open more then one session at once for terminal server or citrix do the following;

• Delete the existing SIMMS shortcut from the desktop

• Proceed to the SIMMS root folder (default: c:/program files/KCSI/SIMMS).

• Right click SIMMS.exe

• select Create Shortcut

• proceed to the new shortcut created and rename it to SIMMS 8.0

• open the properties of the shortcut and in the target field add /NEW after the target path, for example:

("C:\Program Files\KCSI\SIMMS\SIMMS.exe" /new)

• Click apply and copy the shortcut to the desktop

Case#5368– We have enhanced the manual invoice manager to automatically calculate the taxes per the tax schedule assigned to the vendor.

Automotive Maintenance Module Enhancements

Case#5500, 5481, 5480, 5468, 5331, 5283 – We have enhanced the automotive maintenance module and added more functionality;

if you create a new service record from the client file, the client is now already be pre-selected when you are taken to the work order master screen.
In automotive maintenance main screen on the lower left we have added an advanced customer search screen where you can search the automotive fields for results, for example customer comes in at the end of the day with a blue toyota but you can't remember who he was the morning after, you should be able to pick toyota blue from the auto fields to find the customer then drill down to him/her.
We have added a new icon of a truck to the right of the find icon at the top of the customer manager screen, when clicked you can add more vehicles on the fly.
when i make a new repair request there is a automatic line added to the details where the description = the repair request

Case#5471 & 4444 – We have simplified the process of receiving goods & processing returns, information below on the new feature we have added

New Feature: You can now choose which items on a purchase order you want to import into your receipt of goods. This makes it easier to receive into inventory partially filled purchase orders.

Note:This feature is also available for invoice or receipt returns. You can choose from an invoice or receipt the specific items being returned.

Before this enhancement, to process a partially filled purchase order you had to import all the items on your purchase order into your receipt. You would then delete the items not received or change the quantities of the partially received items.

Now when you import a purchase order into a receipt of goods, a prompt appears asking if you want to receive all or most of the items on the purchase order.

You have one of the following two options:

Click Yes. SIMMS enters all the items on your purchase order into your receipt. Use this option if you are receiving all the items on your purchase order.
Click No. A window appears. From this window, you select the items on your purchase order you want to add to your receipt. Use this option if you are receiving only some of the items on your purchase order

About the New Purchase Order Select window

You can easily find the items you want by simply typing your search criteria in the search field. The grid ‘shrinks,’ displaying only those items that match your search criteria.
You can change the cost or quantity of an item. (The quantity must be equal or less than the quantity of the item on the purchase order).
You can type a manufacturer’s lot number and select an expiration date for an item.
You can drag and drop your selected items onto your receipt.

RMA Manager Enhancements

Case#5261 – We have fixed an issue where inventory returns were moving stock into RMA Status and not back in to stock location.

Item Transfer Manager Enhancements

Case#5344 – We have fixed an issue where when printing a transfer document the print preview would appear behind the transfer manager screen.

Purchasing Enhancements

Case#5324 – We have fixed an issue where if the PO authorization window was open you could not access other SIMMS screens.

Case#5269 – We have enhanced the receipt of goods screen to accept editing the freight value after the receipt has been saved, if receipt is reopened in edit mode.

Case#5337 – We have fixed an issue where if you opened a saved PO and then added a new item and clicked the stock window, the grid focus would change to the first line but stock window shows new item entered causing confusion

Sales Enhancements

Case#5292 – We have fixed an issue where if completing a sales order and selecting the customer by typing in the customer name after typing 3 characters it forced you to use the drop down list.

Case#5293 – We have enhanced the shipping tab of the invoicing screen so when you add a ship to or bill to address on the fly they are available in the transaction you are working on, we have also enhanced so if you select a ship to or bill too address and then click the “...” to edit the address you had selected is the current one in the address manager to edit and not all available addresses, of course you can disable the filter (bottom left) to show all if you require.

Case#5333 – We have enhanced the quote manager to indicate if a quote was saved as a draft or completely saved quotation by adding a status column.

Case#4615 - We have added a column “COST” to the Quote, SO and Invoice grids where the user can edit and enter the cost for non stock item. This cost/price is what the gm % is calculated on for non stock items per transaction in reports

There was a missing script in version 8.0.5 released prior to Sept, 2, 2011 that must be run on your database right away

Installation Instructions

Download the attached zip file and unzip the file to a folder you will remember
Backup your SIMMS Databases
Launch the SQL manager, or launch SIMMS and open the SQL Query manager
open the sql file in notepad and copy the contents
past the contents of the script into the sql query manager
select your SIMMS databases
Run the script

SIMMS Inventory Software Version 8.0 Service Pack 4 has been released
Abbotsford, BC July 11th, 2011

KCSI today is pleased to announce the release of SIMMS Inventory Software Version 8.0.4, a widely anticipated update to its popular Inventory Software Application.

General Enhancements

Case#5316 – If a po was saved in draft mode, you couldn't edit it if the permission is turned off preventing users from editing po's, due to demand we have decided that this should not be the case, technically a draft po is not finished therefore they should be allowed to edit it despite the permission so we have enhanced to allow.

Case#5335 – When you save a transaction you have 2 options to select from draft, or save the default was draft and now we have modified this option so now when you save a transaction the option highlighted by default is save, not the draft option.

Case#5336 – We have fixed a display issue in global settings where if you set the use markup percent option enabled under sales/settings/price calculation then closed the window and returned, the screen didn't show you had that option enabled even though it is.

Purchasing Enhancements

Case#5302 – We have enhanced Purchase order authorization by adding an option in the po authorization tab of user permissions called "user can only see po's created within his budget category" if this is enabled the Purchase order list and list of Purchase orders in PO authorization only displays PO's related to his/her categoriesassigned.

Case#5334 – We have enhanced Purchase order authorization so when you create a new PO and there isn't enough funds the system alerts the user about insufficient funds but still allows the user to save thePO. If a PO is authorized or approved and user edits it and changing the amounts over the budget limit, when saving but automatically authorization/approval is status'd as declined until funds become available.

Case#5346 – We have enhanced the po budgets so if you modify the PO the budget allocated is modified to match the value of the modified po also if you modify an already approved or authorized po to a value exceeding the budget limit, the po is status'd declined automatically per case 5334 and the budget funds reserved are put back into the budget remaining pool until po is modified andre-approved/authorized.

Reporting Enhancements

Case#5312 – The transaction report generator was hard to find so we added this report option under the sales, purchasing and transfers printing menus.

Case#5312 – Under the purchasing menu within the report manager we added the PO budget report

Case#4539– We have added two new Report Generators designed in the following way one for sales and one for purchase orders.

Choose by: Customer or Date or SO# or a combination of those options, when you Choose the customer

however, the SO select will only allow you to select SO for that customer and only show within the date range he chooses if he chooses one. This will not pertain to SO’s that are closed.

After selecting this info and generating his report, this is what info displayed:

Customer Name/SO #/Item Code/Description/ QTY Ordered/ QTY invoiced/QTY left to be invoiced

BO)/PO#(customer)( PO# info comes from the original SO )

Sales Enhancements

Case#5315 – We have fixed an issue where if there are items with expiration dates and you select the item from the quick stock window then insert, the mfg lot inserts but the expiration date.

VisualImport manager enhancements

Case#4983 – We have added the ability to import Pull based supply chain minimum qty reorder points, NOTE: you MUST have item, location and reorder point in the source data along with location (mandatory) plus pull base supply.

sql error installing SIMMS - The SQL Server 2005 Express Tools are installed

Summary

Something to watch out for when installing SIMMS or even just sql2008 on its own.

Sometimes when installing sql2008 on a computer that had sql2005 there are errors due to a conflict, if you were to try to install manually you would see the following error: "The SQL Server 2005 Express Tools are installed. To continue, remove the SQL Server 2005 Express Tools." or when installing SIMMS using the automated installer the installation just fails when installing SQL.

Any computer that had sql2005 installed or still has sql2005 installed

When installing SQL2008 you may get the following error: "The SQL Server 2005 Express Tools are installed. To continue, remove the SQL Server 2005 Express Tools." or when installing SIMMS using the automated installer the installation just fails when installing SQL.

Solution

BEFORE launching the SIMMS installer on systems that have had or still has sql2005 installed, rename the registry key at: HKLM\SOFTWARE\Microsoft\Microsoft SQL Server\90 to HKLM\SOFTWARE\Microsoft\Microsoft SQL Server\90-old per the article mentioned and it seems to work well

Cannot scan 2D barcodes with my Honeywell Data Collector

If you have a Honeywell Dolphin 6100 and you find it can't scan 2D barcodes then this article may just save you hours of figuring out why.

Symptoms

Honeywell data collector won't scan 2D barcodes

Solution

The Dolphin 6100 does support decoding of the Data Matrix barcode font. Follow the steps below to verify the Scan Wedge software is properly setup to decode Data Matrix Barcodes. These settings also apply to most Honeywell barcode terminals.

Start the Scan Wedge Software from the Power Tools area
Tap the Scan Wedge Icon and select Settings
Select Symbologies
Scroll down to Data Matrix and verify it is checked, if not Check it.
Double Clik the Data Matrix Line
You will see several values separated by commas
Verify the very first value is a "1", if it is a "0" then place the cursor in this area and change it to a "1"
Tap the X to close
Select File-->Save and close the settings screen
Answer Yes to restart the Scan Wedge application

Summary

When saving an invoice in SIMMS version 8.0.4 you may get the following error message if you have the General Ledger enabled: The insert statement conflicted with the FOREIGN KEY constraint "FK_AccJournals_AccChart". This issue has been resolved in the next version of SIMMS but if you wish to fix before the next service pack is released then run the script attached to this case.

Symptoms

Can't save an invoice without getting a sp_save_invoicetransaction error: The insert statement conflicted with the FOREIGN KEY constraint "FK_AccJournals_AccChart"

Solution

Download the zipped file attached to this article then unzip and run the sql file in the SIMMS SQL Query tool or in the SQL Manager, if you don't know how to do this then contact KCSI technical support
